Agenda for ESE Scholarship meeting on 3/21/09.

1. Reiterate timeline adhering to.
1. Amount of award.
2. Number of award (re-visiting due to excess fund).
3. Minimum Grade Point Average.
4. Requirements. Rubric to score scholarship candidates.
5. Requirement and Criteria document review.
6. ESE Scholarship Application review.
7. Methods of promoting ESE Scholarship... for donations as well as applications.

Questions/Discussions:
- Is this scholarship renewable? can winner re-apply?
- Should we gather ESE staff members in VietNam for a special meeting to obtain their full undestanding and cooperations?
- Is there a need for a Board of directors? What is its functions? Who should be on it?

1. I wonder if the funds should be paid directly to the university involved in the student's name.

2. I wonder if the university could send ESE copies of student's exams so as we are privy to the progress of the scholar.

3. These two things would help to make the univ is aware of ESE interest and they may like to spread the word or post your info in student lounges. The univ is after as many students ($$$$) as it can get so ESE scholarship would be giving them money which is their bottom line. Students = money for univ.

3. These two things also ensure that your funds go where you want them to go.

3. By contacting the univ, you begin a contact which leads further. They may also put you in touch with other colleges and univ. They may forward your brochures to high schools because they want more student money. By advertising for you, they will be helping themselves.

Recap:

- Amount of award remains at $500. The payment shall be made to the educational institution. The remaining will be given in cash.
- The number of awards is 2. We will be giving out 2 scholarship this academic year (2009-2010).
- Minimum Grade Point Average to accept is 6.5 on a scale of 10. This is equivalent to B-.
- Rubric scores: 40% : Academic achievements; 30% : Financial needs; 15% : Written Essay; 10% : Academic letter of reference; 5% : Community service.
- One academic letter of reference is required. No personal letter of reference is required.
- Application is being modified to fit this scholarship.
- Promotions:
* Toyo will work out Alert Bot.
* m_cafe has sent out emails.
* We will gather 2 main staff groups -- VietNam and US -- to inform them of the scholarship as well as ask for their involvement in putting the words out.
* Will check with BamBiNo on T-shirt idea.
* Next meeting, a possibility of setting up 2 main ESE chapters in VietNam -- HaNoi and SaiGon.

- Did not discuss if scholarship is renewable. I'm assuming it is renewable unless someone objects and bring forth sound arguments.
- Did not discuss the need of a board of directors. I'm assuming there is not a need for a board of directors at this time.

To Ms. Wonderful,
- We shall pay directly to the school. The remaining will be given in cash.
- We only have 1 winner from our first scholarship. We do intend to keep in touch to learn of her progress.
- At this time, we do not have a list of targeted schools. At some points, we would explore that route to compile a list of targeted colleges/universities in VN. At which point, direct communication to the school will be a viable option.

To Mr. USAgentLEMAN,
- From a brief review of the IRS’s Section 501(c)(3) and Publication 557 Tax-exempt status for your organization, we don’t see the advantage of ESE applying and being abode by the rigor rules and regulations of the IRS. In addition, we mainly deal with giving grants to foreign individuals. We may also receive contributions from foreigners. This will complicate the process rather helping it.
- This is not to say that we will never explore this option. At some point, when we grow stronger and our fund would exceed $5000, we would re-visit this option. Thank you for the suggestion.

Thanks cũng thắc mắc sao điểm trung bình thấp quá. Điểm trung bình 6.5 là thuộc học lực trung bình, 7.0 --> 7.9 là loại khá, và 8.0 trở lên mới là loại giỏi. Thanks nghĩ ít nhất cũng phải từ 7.0 trở lên.

Bro JK,
we surveyed the tuition costs and what we got is a range from $100 to $300 depending on the school. The award of $500 covers will be more than enough for tuition cost, bro. Anything more at this time would not be a wise use of the fund that we're holding.

The grade scale that we understand is 6.5-7.4 is equivalent to a "B". 7.5+ is considered an "A". We did debate if we should have raised the threshold to be starting at 7.0. However, we decided to stay with 6.5 to give more people a chance to apply. It's the same reason we opened it up to all years in college and not just the first year.

The scholarship is renewable.

Hoài Linh nghĩ vì quỹ học bổng ESE mới thành lập và đây là lần xét tuyển lần 2 của ESE cho nên award = 500 USD là điều rất tốt rồi , ban tổ chức quyết định number of award = 2, Hoài Linh nghĩ cũng là điều rất quý. Ở Việt Nam số tiền đó dù không lớn nhưng cũng không phải là nhỏ và dễ kiếm được đối với hai sinh viên nghèo và hiếu học… Các bạn trẻ ở Việt Nam sẽ rất vui và cảm động khi được nhận học bổng như vậy từ tấm lòng của các thầy cô và các bạn của tổ chức ESE. Tuy nhiên theo Hoài Linh ngoài tiêu chuẩn học tốt, gia đình khó khăn những bạn sinh viên đó phải có ý chí vươn lên vượt khó khăn trong học tập và trong mọi hoàn cảnh, phải là người con có hiếu biết yêu thương cha mẹ, biết san sẻ và giúp đỡ cha mẹ mọi việc trong gia đình, biết chăm sóc cha mẹ lúc ốm đau , điều mà các bạn trẻ bây giờ còn nhiều thiếu sót. Nếu thiếu đi điều này, học bổng được trao sẽ mất đi nhiều ý nghĩa chứ không phải là phần thưởng đó trị giá là bao nhiêu.
